Woker Freight Services, part of the Manica Group is an equal opportunity employer with offices based in Lüderitz, Walvis Bay and Windhoek. The Company has an exciting opportunity for a suitable candidate in the position of Manager: Business Administration and Support.
The position is based in Walvis Bay, Namibia and will be reporting to the General Manager.
Job description
Primary Purpose:
Planning, directing and coordinating the adminstrative function within Woker Freight Services and other identified stakeholder frameworks. Close cooperation with the General Manager, divisional managers, and supervisors to consult on best practices and contractual commitments, ensuring adherence to internal policies and procedures for effective administrative support.
Key Responsibilities:
- Bonds Management: Oversee the issuance, tracking, and management of bonds, customs provisional payments, and refunds.
- Debtors and Creditors Management: Coordinate the accounts receivable process, including invoicing, tracking payments, and implementing credit control policies.
- Manage creditor reconciliations and related processes.
- Logistics Costing: Analyse and manage costs associated with key business functions, focusing on cost reduction through optimization of processes.
- Contracts Management: Support negotiation, drafting, and management of contracts with suppliers, customers, and other stakeholders.
- Management Support and Reporting: Provide support on commercial and administrative matters to divisional and general managers.
- Policy Review: Review and update policies and procedures to ensure compliance, focusing on internal controls, risk management, and financial reporting.
- Team Management: Lead and support administrative teams, ensuring effective financial controls
- Workflow and online banking approvals, forex management, WIP oversight, and profitability control.
- Coordinate 3rd party stock reporting, manage audit findings, and ensure adherence to Manual of Authority authorizations.
- Oversee revenue completeness, FIA and ISO initiatives, and internal/external automation initiatives as directed.
Minimum requirements
- Namibian Citizen or permanent resident.
- Bachelor's Degree in Accounting or related fields. CIMA qualification is an advantage.
- Minimum 5 years of experience in managerial role within finance.
- Proven experience in the key performance areas listed above.
- Computer literacy on MS Office; Asycuda World, EDI Cargowise, and Acumatica knowledge advantageous.
- Good knowledge & understanding of ISO standards.
